A sample ATS friendly resume is a plain, single-column document with standard section headings, real text instead of images or text boxes, dates in one consistent format, and bullets that repeat the exact skill and job-title words the posting uses. That is the whole formula. The sample below follows it line by line, and the sections after it explain each choice so you can apply the same rules to your own history instead of copying someone else’s.

Two things decide whether an applicant tracking system serves your resume well. The first is layout: can the software pull your name, jobs, dates and skills out of the file correctly? The second is wording: when a recruiter searches the system for the posting’s terms, does your resume contain them? Most “ATS templates” only solve the first. A resume that parses perfectly and uses none of the posting’s words is still invisible.

Nothing in it is decorative. Every heading is one a parser expects, every date sits on its own line in the same format, and the skills section reads like the requirements list of a real logistics posting, because that is where those words came from.

Layout rules: what keeps a resume readable by an ATS

An applicant tracking system converts your file to text, then tries to sort that text into fields. Anything that makes the text come out scrambled or empty hurts you. These rules prevent it.

RuleDo thisAvoid this
ColumnsOne column, top to bottomTwo columns, sidebars
HeadingsSummary, Experience, Education, Skills”My Journey”, “What I Bring”
Contact detailsIn the body, at the topInside the header or footer area
TextReal typed textText boxes, images of text, icons

DatesOne format everywhere (03/2022)Mixing “Mar 2022”, “2022” and “Spring 22”
FontsStandard fonts, 10 to 12 ptScript fonts, tiny print
FileDOCX or a text-based PDFA scanned PDF or a photo

The single fastest test is to copy your whole resume and paste it into a plain text editor. If the text arrives in a sensible order with nothing missing, a parser can read it. If your job titles land in the middle of your skills, or your phone number disappears, fix the layout before anything else. Our guide to the free ATS resume checker you run by hand walks through that test and the keyword half in detail.

A few layout questions come up often:

  • Can I use a little color or a thin line? Yes. A colored name or a horizontal rule does not change the extracted text. Color only causes trouble when it carries information, such as a skill rating.
  • Is bold OK? Yes. Bold, italics and capitals survive conversion as text.
  • What about tables? Simple tables usually parse, but the reading order can jump between cells. A plain list is safer, and costs you nothing.
  • Which font? Any common one. Our list of the best fonts for a resume covers the safe choices and sizes.

Wording rules: what gets an ATS friendly resume found

Parsing gets your resume into the system. Searching is what gets it read. Recruiters filter and search with the vocabulary of the posting they wrote, so a resume that describes the same work in different words can be skipped without anyone deciding to skip it.

Look at how the sample’s lines map to a typical logistics posting:

The posting asks forThe sample says
”experience with a WMS""warehouse management system (WMS)"
"carrier scheduling""carrier scheduling for 40+ shipments a day"
"vendor management""primary contact for 12 vendors” and “Vendor Management” in skills
”SAP experience preferred""Processed purchase orders and receiving paperwork in SAP"
"inventory accuracy""Maintain inventory accuracy … through weekly cycle counts”

Four wording habits do most of the work:

  1. Use the posting’s exact term at least once. If they say “customer implementation” and you wrote “client onboarding”, add their phrase where it is true.
  2. Write the acronym and the full name once each. “Warehouse management system (WMS)” matches a search for either.
  3. Match the job title where it honestly fits. If your title was “Logistics Specialist” and the posting says “Operations Coordinator”, put the target title in your headline, and keep your real title on the job entry.
  4. Put the most relevant bullet first under each job. A human skimmer reads the first line of each entry and little else.

Never add a skill you do not have to match a posting. The system may surface you, but the interview will not. Tailoring means choosing which true things to say and in whose words, and nothing more. If you are unsure where the words come from, finding keywords in a job description shows a ten-minute method.

How to turn the sample into your own ATS friendly resume

Work through it in this order, because each step makes the next one faster.

  1. Pick one real posting you want. Not a generic version. The words come from the posting, so you need one in front of you.
  2. Rebuild the skeleton. Start a new single-column document with the five headings from the sample: Summary, Experience, Education, Skills, and Certifications if you have any.
  3. Move your history across as plain text. Employer, title, location and dates for each job, in the same format every time.
  4. Mark the posting’s terms. Highlight tools, systems, methods, certifications and job titles. Skip adjectives like “dynamic”.
  5. Rewrite your bullets with those terms, starting each with what you did and ending with the scale or result where you know it.
  6. Write the summary last, in three sentences that name the target role and two or three of the posting’s top requirements you genuinely meet. Our resume summary formula covers the shape.
  7. Run the paste test and read the plain text once, top to bottom.
  8. Save as DOCX or a text-based PDF with a file name like Jordan-Alvarez-Resume.pdf.

The first time through, steps 1 to 3 take the longest. After that, the skeleton is done, and each new application only repeats steps 4 to 7.

The slow part: re-wording it for every posting

That repetition is where most people give up and send one version everywhere. Re-reading each posting, mapping its terms against your history and rewriting six bullets plus a summary is real work, and it is the part that actually changes whether you get found.

This is the job InstaResume was built for. You give it your existing resume and the job posting. It pulls the language out of the posting and returns either a set of resume bullets or a cover letter tailored to that job, one per generation, written from your actual background rather than invented, and exported as PDF or DOCX. You then drop the bullets into the plain, single-column layout above. The layout stays the same for every application, and only the words change.

You can try it on the free tools, which need no account and give three generations a day. A free account adds five saved generations, and Pro is $9 a month for 500.

InstaResume does not build or design the resume document itself. It has no templates or layout editor. Keep the layout rules above in your own document, and use it for the wording.

When the manual way is enough

You do not need any tool if:

  • You are applying to a handful of similar roles. One carefully tailored version may cover them all.
  • Your target posting uses the same words you already use. Same industry, same titles, same tools: little to change.
  • You are applying by referral. A person is reading it first, so layout still matters and keyword matching matters less.

If you are sending many applications across postings that word things differently, the per-job rewording is the part worth speeding up.

Common mistakes that break an ATS friendly resume

  • A two-column template from a design site. It looks clean and often parses in the wrong order.
  • A skills section of logos or rating bars. The parser reads nothing, and the recruiter’s search finds nothing.
  • Contact details only in the page header. Some parsers skip header and footer areas, so the system has no email for you.
  • Creative headings. “Where I’ve Been” is not a heading software recognises as experience.
  • Keyword stuffing. A white-text keyword list or a skills block of forty terms reads badly to the human who opens it next.
  • One version for every job. The layout can be universal. The words cannot.

Frequently asked questions

Is a PDF or a Word file better for an ATS?

Both work when the PDF is text-based, meaning you can select and copy its text. If a posting asks for a specific format, use that one. DOCX is the safest choice when nothing is stated.

Do I need a special ATS resume template?

No. Any single-column template with standard headings and real text is ATS friendly. The sample above needs nothing more than a word processor. Our roundup of free Google Docs resume templates shows which ones keep to these rules.

How long should an ATS friendly resume be?

The same as any resume: one page for most people under ten years of experience, two for longer careers. The system does not penalise a second page. See how long a resume should be for where to cut.

Can an ATS read my resume if it has a photo?

It will usually ignore the photo, but the photo adds nothing for the software and many employers in the US and UK prefer resumes without one. Leave it out unless the country or role expects it.
